The one page not about a machine

Data we keep

MAHAKALI ENGINEER SERVICES LTD is the controller for the personal data described here. We are a small engineering company and we hold very little: enough to answer you, do the work, and satisfy the people who are entitled to ask us about it afterwards.

What we hold, and why

When you email us about a machine, we hold what you send: your name, your email address, usually a phone number and a site address, and whatever you tell us about the equipment. We keep that because we cannot quote, collect, repair or return a machine without it, and because being able to look up what was measured and fitted last time is the difference between a repair and guesswork.

Where we do work for you, we also hold the ordinary commercial detail — what was agreed, what was done, what was invoiced and what was paid. Our lawful bases are performance of a contract for work we are engaged to do, legitimate interests for answering an enquiry that does not become a job, and legal obligation for anything our accounts and tax filings have to show.

We do not buy contact details, we do not sell or rent anyone's, and we do not send marketing to people who only ever asked us a question.

How long it stays

  1. 1An enquiry that did not become a jobDeleted within twelve months of the last message between us.
  2. 2Work carried outKept for six years after the end of the financial year the work falls in, which is what the tax and accounting rules require of us.
  3. 3Measurements and fitted parts for a machineKept alongside the job for the same six years, because a machine that comes back is the same machine.
  4. 4EmailReviewed yearly and cleared out where nothing in it is still needed for the two reasons above.

What this website does and does not do

This site sets no cookies of its own. There is no analytics, no advertising pixel, no tracking script, no social embed and no chat widget. Nothing you type into the drive calculator on the front page is transmitted anywhere: the arithmetic runs in your own browser, the figures never leave your device, and we never see them.

There is one third-party request, and you should know about it: the two typefaces are served by Google Fonts. Loading them means your browser contacts fonts.googleapis.com and fonts.gstatic.com, and those requests necessarily carry your IP address and browser details to Google, who describe their own handling in their privacy notice. Nothing else on these pages is fetched from anywhere but this domain. The site is hosted on Cloudflare Pages, so Cloudflare processes the request as our hosting provider and keeps short-lived operational and security information about traffic.

Who else sees it

Our email provider and our accountant handle data on our behalf, under contract and only for those purposes. A courier or haulier moving a machine is told the collection and delivery details they need and nothing else. We will disclose information where the law requires it, and we will not transfer your data outside the United Kingdom beyond what the services named above involve.

Your rights, and how to use them

You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it where we are not obliged to keep it, ask us to restrict what we do with it, or object to our relying on legitimate interests. Email workshop@mahakali.work or write to the registered office at 67 Atherley Road, Southampton, England, SO15 5DT. We will reply within one month and we do not charge for it.

If you are not satisfied with how we have handled it, you can complain to the Information Commissioner's Office, the United Kingdom's supervisory authority for data protection. We would rather you told us first so we have a chance to put it right.

This page describes how the company handles data today. If that changes, the page changes with it, and the version here is always the one in force.
